GAME CANCELLATION PROCEDURE

This procedure should be followed when you or the opposing coach must cancel your game due to weather, scheduling conflicts or other unforeseen circumstances. This procedure only covers the steps necessary to cancel a game and ensure all vested parties are notified. The procedure you follow to schedule a makeup game depends on where your original game was to be played. The guidance below will help you determine the correct procedure to follow.
During times of severe weather the Regional Commissioner (RC) will consult with regional board members as well as RC’s of neighboring communities and collectively we will make the call as to whether we play or cancel all home games. You will be contacted via email no later than 7:30AM Saturday if all home games are cancelled. This does not happen very often. For all other scenarios you should follow the guidance below.
HOME GAMES
- It is your decision as coach whether or not to cancel your game. Older divisions (U12+) normally have no trouble playing in light rain or colder conditions but ultimately it is up to you what you'd like to do. Please make your decision at least 45 minutes before your scheduled game so that you have enough time to contact everyone.
- If you decide to cancel you MUST DO ALL OF THE FOLLOWING:
a. Contact your parents.
b. Contact the opposing coach.
c. Contact the referee coordinator.
Note:
- Every effort should be made to schedule cancelled games. If you want to reschedule on a weeknight try to schedule it during your normal practice slot so that you aren’t inconveniencing other coaches.
- If you must reschedule during someone else’s practice slot you MUST notify the coach(es) that are affected and let them know you need to play a makeup game that night. This gives them time to make other arrangements. A coach who shows up to practice and then gets bounced because of a makeup game he/she didn’t know about will not be happy so please be considerate of your fellow volunteers.
AWAY GAMES
Contact the opposing coach directly and work out the details. Please do not contact regional volunteers as we have no control over scheduling at other regions.

* Please try to reschedule all postponed games so that the kids are getting a full season of games.
* While the RC is always happy to answer your questions any time please remember that Saturday mornings are a busy time and the RC may not be able to provide a timely response.
